Participation

Each paper, in order to be scheduled for presentation, has to be properly registered by at least one of the authors and have unique presenter (e.g. one person can be assigned as a presenter of one paper only). If multiple papers are accepted for presentation by the same author, each paper requires a registration and appropriate fee payment for it to be included in the conference program.

Accompany Person

Accompany persons are not allowed to the conference sessions. Accompany persons can only attend the social events (welcome reception and/or social dinner) by paying relative tickets. For more information, please contact IFKAD manager at info(at)ifkad.org

Cancellation

Cancellations received before 15 April 2025 are eligible for a 50% refund of the registration fee. We regret that no refunds can be made after that date. If you cannot attend the conference, your registration is transferable to another co-author or member of your organization. All cancellations must be in writing sent by email to info(at)ifkad.org

Privacy

We are committed to protecting your privacy. The information we ask for during the manuscripts submission and/or registration is the information we need to properly arrange the meeting, logistics, login, payments etc. We only provide relevant information with our partners (venue, catering etc) with the same purpose. Neither we nor our partners will share any information with third parties. We may keep your name and email address for future events, but you are always free to reject any invitations.
We protect your personal data against unauthorized access, unlawful use, accidental loss, corruption or destruction. We use technical measures such as encryption and password protection to protect your data and the systems they are held in. We also use operational measures to protect the data, for example by limiting the number of people who have access to the databases in which our registration and paper processing information is held.

Visa

Please note that we are not able to arrange visas for participants. We advise all participants to check with the nearest host country embassy whether or not a visa is needed. If you are likely to need a visa, we recommend that you make your application as soon as possible. To help you, once you have registered and paid to attend, we can issue a letter which confirms that you have registered and paid to participate in the conference. If you need such letter, please send us an email containing necessary information.

In the event that your visa application is refused, you will be refunded the registration fees paid, less an administration charge EUR 200. In this event, the paper will still be considered for inclusion in the conference proceedings and delegates will receive an electronic copy of the conference material.

Notification about visa application refusal must be received in writing (email) to info(at)ifkad.org, containing relative documentation (e.g. refusal letter from embassy), not later than 10 working days before the conference starts for refunds to be eligible. Cancellations received after this cut-off time will not be eligible for refund.

Refunds will be made in the following ways

  • For payments received by credit/debit cards, the same credit/debit card will be refunded.
  • For all other payments, a bank transfer will be made to the payee nominated account. All bank charges will be applied to the registrant account.


Due to the current political environments and the sanctions placed on Russia, we are no longer able to provide letters for visa application for participants from Russia.
